Writing IFAC papers using MS Word
Prerequisites
In addition to having Microsoft Word installed in your computer, you will need one of the following tools in order to produce compliant PDF files:
- The Microsoft Office Save as PDF Add-in (Word 2007 or higher only)
- Adobe Acrobat®
- Apple Preview (if you are using Mac OS 10.x)
- Ghostscript and the GSView (Windows and Linux) or Ghostview (for Unix/X11) front ends. You will also need a PostScript printer driver.
MS Word template
The ifacconf_office package includes:
- The ifacconf.doc sample paper file that can be used as a template
- The ifac_sample_office.pdf sample paper file
Creating PDF paper files with MS Word
Office 2007 on Windows
If you are using Office 2007 on Windows, the simplest way to crate a PDF file from a Word document is to use the Microsoft Office Save as PDF Add-in. Once this package is installed you will find a "Save as PDF" menu item that you can use to produce a PDF file. Be sure to configure the page size of the document to be A4, and choose the "ISO 19005-1 compliant (PDF/A)" option in order to get a compliant file.
Office 2008 or earlier on Mac OS X
You can use the "Save as..." menu item and choose "PDF" as the file format. If you have used the provided template to write the paper, the resulting PDF file will comply with the IFAC specifications.
Earlier versions of Office on Windows
If you have Adobe Acrobat ® you can use PDFMaker to generate the PDF file. In order to get a compliant PDF file, use the menu item Adobe → PDF Change conversion settings or Acrobat → Preferences, depending on the Office and Acrobat version you have, and choose the PDF/A1 or the IEEE job options, if available. Otherwise be sure to configure the PDF options according to the IFAC PDF specifications.
An alternative method is to use the free GSView tool. You will also need a postscript printer driver. You can use any commercial driver for postscript printers.
The first step is to produce a postscript (.ps) file from your Word document. Select the "File → Print..." menu item (not the "print" icon on the toolbar), and then select the postscript printer and mark the "Print to a file" checkbox.
The next step is to convert the postscript file into a PDF file. Open the postscript file with GSView, and select the menu item Media = A4. Then click on File → Convert, and then on "Properties". Set the following property values:
- Page size: A4;
- Compatibility level: 1.4;
- Embed all fonts: true;
- Subset fonts: true;
- MaxSubsetPCT: 100;
Then close the preferences window and click "OK" on the file conversion window.
